Terms of service and refunds
Effective date: November 1, 2026
These terms apply to the services GardeBot provides to businesses. By requesting a quick check, paying for a report or accepting a quote, you agree to them. A signed quote or order can add details; if it conflicts with these terms, the quote or order applies.
1. Who provides the services
The services are provided by 8473129 Canada Inc., operating as GardeBot, 1554 Carling Avenue, Unit 91, Ottawa, ON K1Z 7M4, Canada, hello@gardebot.com. Our services are offered to businesses and professionals, not to consumers.
2. Our services
- Free quick check: a short email with first automation ideas based on your intake form answers. No obligation.
- AI Automation Report: a written plan drafted with AI and reviewed by a person, with prioritized opportunities, recommended tools and a fixed price per automation.
- AI Assistant Setup and custom builds: we set up the automations described in your quote, inside accounts you own.
- Assistant Care, Maintenance and Maintenance Plus: monthly plans to monitor, fix and update what we built, as described on our pricing page or in your quote.
We describe the scope of each paid service in writing before you pay. Anything outside that scope needs a new quote.
3. Prices, currency and taxes
Prices are shown on our website or in your quote, in Canadian dollars or, if you choose, in US dollars. You pay in the currency you choose. Applicable taxes are extra. Quotes are valid for 30 days.
4. Payment
- The AI Automation Report and the AI Assistant Setup are paid in advance.
- Custom builds follow the payment schedule in the quote.
- Monthly plans are billed in advance each month until cancelled.
- We take payments through our payment processor's secure payment links or invoices. Invoices are due on receipt unless the quote says otherwise.
5. Report credit
The full price of the AI Automation Report is credited toward a build quoted in that report.
6. Cancellations and refunds
- Before we start work on a paid service, you can cancel for a full refund.
- AI Automation Report: once delivered, it is not refundable. If we can't deliver it, we refund it in full.
- Setups and custom builds: if you cancel after work has started, we refund what you paid minus the work completed to date, as shown in the quote's milestones.
- Monthly plans: cancel at any time by email; the plan ends at the end of the paid month, and partial months aren't refunded.
Refunds go back to the original payment method, in the original currency.
7. Your responsibilities
- The accounts and tool subscriptions we work in stay in your name, and you sign in to them yourself.
- You review and approve messages before they're sent, unless you ask us in writing to set up automatic sending.
- You're responsible for having the right to use the information in your systems, and for the messages you send, including compliance with anti-spam and privacy laws (such as CASL, CAN-SPAM, PIPEDA and Quebec's Law 25).
- You don't give us health information or information we don't need for the work.
8. AI-assisted work
Drafts, reports and replies prepared with AI can contain mistakes. We review our deliverables, and you should review drafts before using them. Our work isn't legal, tax, accounting or financial advice.
9. Third-party tools
Automations rely on third-party software (for example, Gmail, Outlook, Zapier, Make or n8n) under their own terms. We're not responsible for their outages, price changes or feature changes. On a maintenance plan, adapting to those changes is included as described in your plan.
10. Confidentiality and privacy
We keep your confidential information confidential and use it only to provide the services. When an engagement ends, we remove our access and delete your data we don't need to keep. Our privacy policy explains how we handle personal information.
11. Ownership
Once you've paid, the automations, configurations and documents we create for you are yours to use and change. We keep our general know-how, templates and tools, which we may reuse for other clients without your confidential information.
12. Warranty and limitation of liability
We provide the services with reasonable skill and care. If a deliverable doesn't match the agreed scope, tell us within 30 days and we'll fix it at no charge. To the extent the law allows, our total liability for any claim is limited to the amount you paid us for the service concerned in the 12 months before the claim, and we're not liable for indirect or consequential losses, such as lost profits or lost data.
13. Ending the relationship
Either of us can end an ongoing service with written notice. If either party seriously breaches these terms and doesn't fix it within 10 business days of notice, the other can end the service immediately. Sections 6 and 10 to 14 continue to apply.
14. Governing law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. The courts of Ottawa, Ontario, have jurisdiction, unless the law requires otherwise.
15. Language and changes
These terms are available in English and French; both versions are equally valid. We may update these terms by posting a new version on this page with a new effective date. Changes don't affect an order already accepted.
